Privacy Policy

1. Who We Are

LinguaID ("we", "us", "our") operates the LinguaID platform, a professional translation registry that verifies and certifies linguists. Our registered address and data controller contact: support@linguaid.org.

2. Data We Collect

  • Account data: name, email address, role.
  • Profile data: bio, location, language pairs, specializations, years of experience, avatar.
  • Identity check outcome: whether the check run by our identity provider passed. We never receive or store the document, selfie or biometric images themselves.
  • Assessment data: quiz responses, scores, timestamps.
  • Payment data: handled by our payment provider, Base44 Payments (operated on our behalf by Wix); we store only a reference ID, amount, currency and status, never raw card data.
  • Usage data: browser type, IP address, pages visited, cookie identifiers.

3. Legal Basis for Processing (GDPR)

  • Contract performance: to provide you with certification and profile services.
  • Legitimate interests: fraud prevention, platform security, product improvement.
  • Consent: for non-essential cookies and marketing communications (you may withdraw at any time).
  • Legal obligation: to comply with applicable laws.

4. How We Use Your Data

  • To create and manage your account and professional profile.
  • To conduct identity and credential verification.
  • To process payments and issue invoices.
  • To display your public verified badge to third parties.
  • To send transactional emails (verification status, receipts).
  • To improve the platform via analytics.

5. Data Sharing

We do not sell your personal data. We share data only with:

  • Base44 Payments / Wix – payment processing and fraud prevention.
  • Didit – identity verification checks, when you choose to run one.
  • OpenAI – AI-assisted assessment grading (quiz answers only).
  • Email service providers – transactional emails.
  • Law enforcement – when legally required.

6. Data Retention

We do not run an automated account-deletion or purge schedule. Deletion happens when you ask for it or when we are legally required to act, and it is carried out as a reviewed, manual step. Different categories of data are kept for different periods, because they serve different purposes:

  • Public profile information: your name, photo, bio, location, language pairs, specialisations, links and any credentials you add yourself. Shown at your public address only while your profile is published. Setting your profile to private removes it from public view immediately, and a credential or link you delete disappears at once.
  • Private account data: your email address, sign-in details and account role. Kept while your account exists.
  • Identity verification: the outcome of a check run by our identity provider. The document and selfie you used are handled by that provider, not by us. Kept while your account exists and while a verified status is displayed for you, so that status can be substantiated. It never appears on your public profile.
  • Assessment records: the tasks served to you, your answers, scores and any credential issued. Kept while your account exists and, for an issued credential, for as long as the credential is public, because a credential must stay verifiable after it is issued. Revoking a credential is a recorded act, not a deletion.
  • Payment records: amount, currency, date, reference and status of each transaction. Kept after an account closes where tax, accounting or fraud-prevention law requires it. Financial history is never deleted on account closure.

To have your account and the data described above deleted, email support@linguaid.org. We confirm your identity first, then remove your profile and its public content, keeping only the payment and credential records described above and a minimal record that the deletion took place.

7. Your Rights (GDPR)

If you are in the EEA or UK, you have the right to:

  • Access, correct, or delete your personal data.
  • Restrict or object to processing.
  • Data portability.
  • Withdraw consent at any time.
  • Lodge a complaint with your local supervisory authority.

To exercise these rights, email support@linguaid.org.

8. Cookies

We use cookies as described in our Cookie Policy.

9. Changes to This Policy

We may update this policy periodically. We will notify registered users by email of material changes.
